Policies
As a current client of Ruby Speech Therapy Inc., you have signed an Intake & Consent form that outlines the following policies. If you would like a signed copy of your signed Intake & Consent form, please email admin@rubyspeech.com.
Cancellation & sickness policy: Your appointment time has been reserved for your child. Your therapist has spent time preparing for your appointment and will be unable to fill that spot if you cancel. If you must cancel, please give us at least 24 hours notice by texting our business line (587-410-9791) or emailing your therapist or admin@rubyspeech.com. If you give less than 24 hours notice, you will be charged in full for the session. Your therapist will still use your session time to work on your child's case (for example, preparing materials or homework, writing a progress note, or communicating with your child's school, if applicable).
Because the clinic is a shared space, you agree not to bring your child if you or they are sick.In the event of illness, your therapist can provide a virtual session, a parent coaching phone call, or spend the session working on your child's case. As previously stated, sessions that are cancelled with less than 24 hours notice are billed in full.
I understand that if I arrive late to my scheduled session, the session will still end at its originally scheduled time, and I will be charged the full session fee. The missed portion of the session cannot be made up or credited.
I acknowledge and agree to remain present during my child's speech therapy sessions, either by actively participating in the therapy room or, when deemed necessary by the therapist, waiting in the designated lobby area. I understand that my presence on the premises throughout the entire session is mandatory, and I will not leave the facility during my child's appointment. This requirement ensures my immediate availability should any needs arise during the session and demonstrates my commitment to being an engaged partner in my child's therapeutic journey. My active involvement allows me to observe techniques, strategies, and progress firsthand, enabling me to effectively support and reinforce speech therapy goals at home. I understand that failing to comply with this attendance policy may result in the cancellation of the session and could impact the continuity of my child's therapy services.
Your scheduled time slot is not guaranteed if you miss sessions. Missing two or more consecutive sessions, regardless of reason (including vacation), will result in forfeiture of your regular time slot. The practice reserves the right to assign your time slot to another client after two consecutive missed sessions. If you wish to resume services after an extended absence, you will be placed on the current waiting list.
Ruby Speech Therapy Inc. is committed to protecting your privacy and safeguarding your personal information. We do not sell your personal information to third parties. Your data is used solely for delivering our services, communicating with you, and enhancing your experience. We implement strict security measures to protect your information. By providing your personal information, you authorize Ruby Speech Therapy Inc. to employ Google Workspace, a Customer Relationship Management (CRM) platform, AI services, and other digital tools as deemed necessary to ensure efficient management of communication, foster robust relationships, and provide better service to our clients. While operating in Canada, some service providers may be based abroad. All data is protected with industry-standard security measures and handled in accordance with our privacy policy.
Rate for services: All individual in-clinic services are charged at:
$148 per hour for Speech-Language Pathologist (SLP) services.
For other lengths of time, the rate is prorated. For example, $98 for a 40-minute SLP appointment.
$87 per hour for SLP assistant services.
The rates are subject to change without notice.
A clinical hour is equivalent to 45 minutes of face-to-face time in session, followed by 15 minutes of indirect time set aside for documentation, email follow-up, or resource sharing as needed.
40-minute sessions include 30 minutes together, followed by 10 minutes of indirect time.
Extended sessions will be billed in 5-minute intervals.
All professional services, including electronic communications, school visits, meetings, case conferences, grant applications, supervision, and documentation, will be charged at the same rate.

Payment Method: To pay for services, you have the option to use either a credit card or a Visa or Mastercard debit card. Here's how the process works:
Before your first appointment, you will receive a link to fill in your payment card information. Clicking this link will direct you to a secure page where you can enter your card details. You will not be charged until your appointment is completed.
You must provide your payment information 24 hours before the session time; otherwise, your appointment will be cancelled. .
Card Processing and Storage: Stripe securely processes the card information you provide. Colib, an Electronic Records Management system, securely stores your card details.
Subsequent Payments: For any future invoices, Ruby Speech Therapy, Inc. will automatically charge the card you have on file.
Receipts: After each payment, you will receive a receipt for your records.
Late Payment: In the event that payment with your card on file does not go through, payment is due within 24 hours of receiving the invoice.
If an invoice is not paid within 24 hours, it will be considered a late payment. There is a $35 fee for each late payment, and $5 is added for each additional day that payment is late.
For any amount that is 30 days past due, our clinic will use the services of a debt collection agency, solicitors, or third parties to recover the debt. The clinic reserves the right to share contact information and overdue invoices with these third-party agencies for payment collection.
All sessions must have a valid credit or debit card on file. If your card is declined, your therapy sessions will be immediately paused until payment is resolved. You are responsible for maintaining current and valid payment information. No services will be rendered without an active, valid payment method.
Ruby Speech Therapy is permitted to capture photographs, as well as audio and video recordings of clients, solely for evaluation and therapeutic purposes, with the understanding that only the therapist assigned to your child will review these materials. The therapist will also ask for consent at the time of assessment or treatment, as needed, and this consent can be revoked at any time.
By submitting this form, you give consent for Ruby Speech Therapy Inc. to contact you via email, phone call, or text for the intake process, scheduling, updates, promotions, and newsletters.
